Programs & Operations Specialist

Location: This is a virtual position and can be located anywhere
Hours per week (average): 40 hours, generally available 9am-5pm Eastern Time
Overtime Status: Exempt
Compensation Range: $45,000 – $60,000 depending on experience plus a comprehensive benefits package for USA-based employees

Position Summary

Provide coordination and support for SPARC Programs, including managing event logistics, membership, Steering Committee, as well as SPARC Operational functions.

Responsibilities and Tasks

Program Support (85%)

Coordinate SPARC events (50%):

        • Both SPARC in-person and virtual events: Including event planning, attendee event registration, hotel contracts, hotel room assignment support, attendee contract/invoicing, sponsor contract/invoicing, event logistics, speaker relations, troubleshooting, travel reimbursement support, and communications.
        • Will require a moderate amount of travel of 6-8 trips/year.

Manage and facilitate SPARC membership (30%):

        • Facilitate annual membership invoicing, follow up with new membership inquiries/questions, update member data in membership management software/mailing lists/etc, welcome new members, follow up on any unpaid member invoices, assist with production of member resources, and other member related projects.

Manage and facilitate Steering Committee elections (5%):

        • Manage candidate nominations, coordinate annual elections, and communications.
        • Maintain Steering Committee roster and mailing list, ensuring roster aligns with SPARC Bylaws.
        • Provide support to Steering Committee members as necessary.

Operations (15%)

        • Meeting and calendar management: Coordinate, update, and communicate SPARC team meetings, Steering Committee meetings, and Executive Director’s calendar.
        • Document meetings and provide a summary of action items.
        • Assist Executive Director with speaking engagements coordination: Provide host with bio, photo, and summary of presentation.
        • Process honorariums
        • Office management: Distribute mail, phone messages, and “contact us” emails as appropriate, order SPARC swag/office supplies, organize inventory and distribute as necessary. website maintenance (update calendar, news, and other content as necessary).

Required Education, Experience, Knowledge, Skills and Ability

      • 4-year college degree or equivalent experience
      • 4+ years professional experience with demonstrated success in roles requiring execution of multiple tasks while responding to multiple priorities, and adhering to deadlines
      • Experience planning meeting and event logistics
      • Effective written and interpersonal communications
      • Meticulous attention to detail and stellar organizational skills and ability to work efficiently and independently
      • Expert-level skills with Google Suite tools (including Google Docs, Sheets, and Slides) and/or Microsoft Office (Word, Excel, Powerpoint)
      • Aptitude and curiosity to learn new software systems
      • Ability and interest in collaborating with a variety of team members and volunteers

Valued and Non-Essential Education, Experience, Knowledge, Skills and Ability

      • Experience with WordPress or other website content management system
      • Effective contract negotiation skills
      • Comfortable working in a virtual environment
      • Interest in SPARC issue areas
      • Excited to operate collaboratively in a fast-paced, virtual environment, remaining flexible and good humored
      • Experience with the higher education sector preferred
